Overview

We are seeking a highly experienced IVF professional with strong IVF software, super-user expertise to support a French-Canadian IVF clinic transitioning from paper-based records to a fully paperless Electronic Medical Record (EMR) system. This role combines deep IVF operational knowledge with hands-on EMR implementation and visible change leadership during a live clinical transition.

Key Responsibilities

Lead on-site delivery of the transition from paper records to EMR within an IVF clinical setting.

  • Week 1 – Build & Configure:

    • Work directly with IVF clinicians, embryology, nursing, and administrative teams, with the support of the software provider, to design and configure the patient and operational workflows, and templates specific to fertility treatment

  • Week 2 – Go-Live & Adoption:

    • Act as EMR go-live lead and super user, providing real-time support, troubleshooting, and coaching.

    • Support full transition to a paperless system while maintaining patient safety, and clinic flow.

  • Provide strong, visible leadership to support staff through change, addressing concerns and ensuring engagement across multidisciplinary IVF teams.

  • Communicate clearly and confidently with IT, clinical, laboratory, and operational stakeholders throughout the implementation.

Essential Skills & Experience

  • Extensive hands-on experience working within an IVF clinic (embryology, nursing, quality or operational leadership background).

  • Proven experience as an EMR super user, including pathway design, template configuration, workflow optimisation, and frontline system support.

  • Demonstrated leadership experience on new project implementation

  • Strong understanding of IVF clinical workflows, and patient pathways.

  • Excellent leadership, communication, and change management skills.

  • Ability to provide calm, practical support during go-live scenarios.

  • Fluent French (spoken and written) – essential.

Desirable

  • Previous involvement in EMR implementations within fertility or reproductive health services.

  • Experience training or coaching clinical teams on EMR systems.

  • Familiarity with regulatory, consent, and documentation requirements in IVF settings.
